2. Payment
In this section, we’ll guide you how to create payment, manage your payment and introduce the function under the “Payment” section.
2.1 Receive Payment
2.1.1) Basic
a.How to receive a payment (Full Receive、Partial Receive)
In this section, we’ll guide you two ways to receive payment:1.Single invoice entry to receive payment, 2.Receive Payment for Multi invoices(the same vendor) and 3.Receive Payment for multi vendors’ invoices.
1.Single invoice entry to receive payment.
Go to an invoice entry page, click Tools ⇒ Receive Payment.
It will direct you to the payment received page. Make sure it records the correct bank and other payment information. The system will automatically fill the "Received From", check the invoice and full "payment amount”. Remember to select the received bank. Click "Save".
The status of the invoice will be displayed “Full Payment”.
If the customer only paid a partial amount for the invoice, please revise the payment amount. In this example, we enter $200. And Balance AMT will be displayed for $400.
The status of the invoice will be displayed “Partial Balance”. And you could see the amount that hasn't been paid on the Amount Due column.
Next time the customer pays the balance amount, just click Tools ⇒ Receive Payment, and perform the same operation to receive payment.
Click Tools ⇒ Payment History to see the payment you have received. You could click the Post Date hyperlink to direct the payment page.
2.Receive Payment for Multi invoices(the same vendor).
Go to Accounting ⇒ Payment ⇒ Receive Payment
You could choose Payment Level to classify the payment. Payment set up Level 2 can only be viewed by Accounting Manager and General Manager, Such as Salaries etc.
Select the customer you are receiving payment from. In our example, we selected “AA CARGO (P366).”
When you enter Received from, Invoice Search Bar will display below. Click “Search” and the invoices of the customer will be listed below.
Select the bank for your “receiving bank.” In this example, we are using Bank 1.
Check the box of invoice that the customer is paying for. Type in the payment amount.
*Note: System automatically defaults if the amount is not entered.
Save.
If the customer only paid a partial amount for the invoice, please revise the payment amount. In this example, the customer paid a total of $800, $500 for the SIN-00131, $300 for SIN-00150. You could see the balance of $500 for SIN-00150 on Balance AMT.
Next time the customer pays the balance, go to Accounting ⇒ Payment ⇒ Receive Payment. Select Receiving From "AA CARGO (P366)" and click Invoice Search Bar to search.
The invoice will still be displayed below. You could perform the same operation to receive Balance AMT.
3.Receive Payment for multi vendors’ invoices
It happens in some situations below: If your customer has the branches and the headquarters will pay for the branches' billing. Or the vendor A will pay for the vendor B first and then they will reconcile later.
Go to Accounting ⇒ Payment ⇒ Receive Payment
You could choose Payment Level to classify the payment. Payment set up Level 2 can only be viewed by Accounting Manager and General Manager.
Select the customer you are receiving payment from. In our example, we selected "3M COMPANY.”
Choose the bank for your “receiving bank.” In this example, we are using Bank 1.
When you enter Received from, Invoice Search Bar will display below. Select another partner in the Invoice Search Bar. In this example, we are using “AA CARGO (P366)”. Click “Search” and check the invoices.
Choose another partner “ABBOTT INC” and click Search. The invoices will show on the list below. The invoices selected for AA CARGO (P366) will still remain on the list.
Check the box of invoice. Type in the payment amount.
*Note: System automatically defaults if the amount is not entered.
Save.
The payment will include the ABBOTT INC and AA CARGO (P366)’s invoices. And you’ll receive the payment from 3M COMPANY.
b.How to deposit the payment at the bank.
After a few days, the payment is actually deposited at your bank account.
Check the deposit box and select a date. Click Save.
c.How to void a payment
In this section, we will guide you how to void payment if the payment bounced back.
Check the void and select a date. Click Save.
It will be recorded on the Bank Book Balance Report.
d.How to block/unblock a payment
Click Tools ⇒ Block at the top right corner.
Click Block at the pop-up notice. The payment and invoices under the payment will be blocked and can’t be revised.
If you would like to unblock the payment, click Tools ⇒ Unblock.
*Note: Only Accounting Manager and General Manager could unblock the payment as default.
